How to Use a Virtual Mailbox as the Principal Office Address for Your Florida Business

To top

Objective:

  • To get a virtual Florida business address

Additional Information:

While many business owners and entrepreneurs run their operations from the comfort of their own homes, not everyone is comfortable with using their personal address as their business address because doing so would make it public information, which inspires concerns about privacy and safety. This is made more complicated by the fact that Florida requires a business’s principal office to have an actual street address – a P.O. box isn’t going to work. Fortunately, there’s a solution that we like to suggest to our clients that will give you a street address for your business at a reasonable price – iPostal1.

Procedure:

Select Your Plan and Sign Up

Begin by selecting the payment plan that works best for you. All plans include a business address, a digital mailbox, phone forwarding, voicemail, and dedicated fax. iPostal1 plans are based on how much mail you expect to receive each month. Higher tiers also come with toll-free phone forwarding, voicemail, and fax services in addition to accepting higher volumes of mail. Sign-up is easy and payments can be made by credit card or through PayPal.  Then, once you upload USPS Form 1583 through their website along with two forms of ID, you’ll be ready to get the ball rolling on your virtual office.

Choose Your New Business Address

Next, you’ll pick the address for your virtual office. All locations are physical, brick and mortar buildings staffed with professionals to manage your mail. Many of iPostal1’s addresses are pack and ship stores or professional coworking offices. Your mail is kept secure and confidential, and packages are only opened upon your request or to obey international shipping regulations. You can also add more locations to the same account if you need to expand or want to have a virtual presence in multiple cities or states.

Manage Your Account

You can start redirecting your mail to your virtual office and listing the address on your business’s forms and other information right away. When mail is received at your virtual office, iPostal1 uploads a picture of the outside of the envelope or package and uploads it to your personal digital mailbox, which you can access online or through the app. You’ll receive a push notification on your phone as well. Your digital mailbox is also where you’ll go if you want to have your mail scanned, forwarded, thrown away, or if you want to schedule a time to pick it up.

Frequently Asked Questions

To top

Q: Is iPostal1’s monthly fee the same for all locations?

A: No — your mailbox fee will depend on which of iPostal1’s four address types you choose from: Standard, Select, Premium, or Prestige. Locations that are in high demand or come with higher operational costs will typically require a little extra money and can be found in the non-standard options.

Q: How much does it cost to mail or send a package?

A: This will depend on the size and weight of your envelope or package, as well as your desired carrier, shipping method, and its ultimate destination. Each of iPostal1’s locations sets its own shipping rates, which you can see in real-time online or in the app.

Q: Does junk mail count as one of my mail items?

A: No. Usually, iPostal1 mail centers filter out and dispose of junk mail.

Q: Can I share my mailbox?

A: Yes — business accounts with iPostal1 are allowed to have up to four people assigned to an account. However, because of USPS requirements, only one business name can be associated with each account.

Q: Can I change my virtual address?

A: Yes, although you will need to provide an updated and notarized copy of Form 1583.

Q: How frequently will iPostal1 send me my mail?

A: That’s entirely up to you. You can pick up your mail and packages by request, weekly, bi-weekly, or monthly.
